Manage users

A user is an individual who performs tasks in Imply Lumi. Users are assigned roles that define their permissions and access level.

This topic provides guidance on managing users in Imply Lumi.

Prerequisites

To invite and manage users, you need either the Admin or Manager role. For more information on roles, see Manage roles.

User roles

You control user access to Imply Lumi resources and functions through roles. To simplify administration and permissions management, Imply Lumi provides predefined roles that align with common functions. When you create a Imply Lumi account, you are automatically assigned the Admin role.

We recommend that you adhere to the principle of least privilege (PoLP) and assign the user a role with the minimum permissions necessary to perform their tasks. For more information on roles and permissions, see Manage roles.

View users

To view a list of users in your company, click Users in the navigation menu. You can view the following information on the Users page:

  • Email: Email address of the user.
  • Name: Name of the user.
  • Roles: Roles assigned to the user.
  • Joined: The date and time of the user's first login, displayed in your local time.

Use the search bar on the Users page to locate specific users.

View user details

Click the user name to view their details. The user details page displays user account information, including name, email, company, and timezone. It also shows the roles and permissions assigned to the user.

Add a user

To add a user:

  1. Click Users in the navigation menu.
  2. Click + Create user.
  3. Enter user details:
    • Email address: Email address of the user. You can't modify user email once set.
    • First name and Last name: Name of the user.
  4. Click Assign roles to user and select one or more roles.
  5. Select Send email invite to notify the user of their access to Imply Lumi. The invited user will receive an email from Imply Lumi prompting them to create a password to complete the setup.
  6. Click Create User.

If you need to resend the invitation, you can do so from the Users page. Click the ellipsis next to the user name and select Resend invite.

Update a user

You can update a user's name and roles from their details page. To access the user details page, click Users in the navigation menu and click the user you want to update.

Authenticate a user

Imply Lumi supports the following user authentication methods:

  • Password-based authentication: Users authenticate with their Imply Lumi username and password.
  • Identity-Provider-Initiated Single Sign-On (IdP-initiated SSO): Users authenticate to multiple applications using the same set of credentials managed by a third-party identity provider (IdP).

To enable SSO on your Imply Lumi account, contact your Imply support representative.

Imply Lumi supports IdPs that adhere to the Security Assertion Markup Language (SAML) 2.0 and OpenID Connect (OIDC) 1.0 protocols. Typically, a user logs in to the IdP's SSO application (such as Okta) and clicks a tile with the name of the application they want to authenticate to. The IdP generates a token or an assertion with the user's access permissions and sends an authentication request to Imply Lumi. Imply Lumi checks the user information provided by the IdP and grants access to resources upon successful validation.

Accounts with SSO configured display a button for the IdP on the login page. User accounts managed by the IdP display the IDP tag next to the user email on the Users page. The following screenshot shows the IDP tag displayed next to the emails of IdP-managed users:

Reset password in Imply Lumi

To prompt a user to reset their Imply Lumi password, click the ellipsis next to the user's name on the Users page and select Reset password.

Disable a user

When you disable a user, they can no longer log in to their account. To restore user access, re-enable the user.

To disable a user:

  1. Click Users in the navigation menu.
  2. Click the ellipsis next to the user name and select Disable user.

You can also disable a user from their details page.

Delete a user

Deleting a user removes their login access and any data or customizations associated with the user. This action is irreversible.

To delete a user:

  1. Click Users in the navigation menu.
  2. Click the ellipsis next to the user name and select Delete user.
